South Summit Fire District

From a permit binder in the front office to a branded online portal — and a partner who answers the security questionnaire every year.

South Summit Fire District runs the way most fire districts run: a small, dedicated staff covering prevention, permits, and administration on top of everything else the district does. For years, that meant permits lived where paperwork always lives — a binder in the front office, a stack of PDFs on a shared drive, a spreadsheet somebody kept mostly up to date. When a resident wanted a burn permit or a contractor needed a plan review, the answer usually started with a phone call to the station.

Payments followed the same pattern. Fees came in however they came in — a check mailed to the office, cash handed across a counter, occasionally a card number read aloud over the phone. Someone had to open the mail, log the payment by hand, and make sure it actually made it to the bank. None of it was hard, exactly. It was just one more thing competing for time that the district didn't have to spare.

Underneath all of it sat a quieter problem. Every year, a cyber insurance renewal or a state audit request would land on the chief's desk, asking about security policies, access controls, and how the district would respond if something went wrong. There was no IT department to forward it to and no one on staff whose job it was to have those answers ready. The questionnaire got filled out as best anyone could, or it didn't get filled out at all.

South Summit brought SecureCloud.ai in to change that — not with a new department or a new hire, but with a platform built around how the district already operates. Permit types, fees, and approval steps were set up around South Summit's actual process, then put online behind a portal carrying the district's own name, badge, and colors. Nothing was installed on district computers, and nothing required an IT staff South Summit didn't have.

Today, residents and contractors apply for permits and pay online, any time, without a call to the station. Approvals happen wherever the chief or the duty officer happens to be. Fees are paid by card and deposited directly into the district's own account, with a receipt generated automatically and a board-ready report available whenever it's needed — no envelope to open, no ledger to reconcile by hand.

On the security side, South Summit no longer faces the annual questionnaire alone. SecureCloud.ai reviews the district's systems every year, helps answer the cyber insurance and audit questions as they come in, and keeps the policies and evidence current so the district isn't scrambling to reconstruct an answer under deadline. For a district with a small staff and a long list of responsibilities, that's meant real time back — time that used to go to logging payments and fielding permit calls, now spent on the work the district actually exists to do.

South Summit's story isn't about a dramatic transformation. It's about a district that quietly stopped running its public-facing work on paper, checks, and hope — and got a platform, and a partner, built for exactly the kind of district it is.
